TRAVEL AGENCIES
AI for Travel Agencies
Trip enquiries arrive by email faster than your advisors can answer them, and most ask something your package documentation already covers. We write the reply draft before anyone opens the message, so your team reviews and sends instead of starting from a blank page.
Your advisors should be selling trips, not retyping the same answers
Most enquiries are about one specific package: what is included, how it works, whether it suits the traveller. The answer is already written down somewhere. We connect AI to that documentation so a reply draft is waiting in the mailbox, and your advisors keep their time for the requests that need their judgement.
- Each draft is written from the FAQ of the package the email is about, not from a generic model
- The draft sits in the mailbox as a reply before the advisor opens the email
- Advisors review every draft and decide what gets sent
- Your team updates the package FAQs itself, with no developer involved
- The language of each incoming email is detected, so mixed-language inboxes are handled
Where travel agencies lose their advisors' time
An advisor's value is knowing which trip fits which traveller. These four things take that time away.
Enquiries outpace the team
Quote requests and trip questions land in the inbox all day. Every one needs a careful written reply, and a slow answer gives the traveller time to ask another agency.
The same questions on every package
What is included, how the itinerary works, what happens if plans change. Advisors look up and rewrite answers that already exist in your own documents, dozens of times a day.
Peak season hits the inbox first
Enquiries pile up when people plan their holidays, which is also when advisors are busiest with existing bookings. Hiring for a few busy months rarely makes sense.
Travellers plan outside office hours
People browse trips in the evening and at weekends. A question sent on Saturday night waits until Monday, and so does the booking.
What we build for travel agencies
Reply drafts for trip enquiries
Incoming mail is read and classified: its language, whether it is a question, and which package it concerns. Only that package's FAQ is pulled in, and a reply draft is created in the mailbox for the advisor to validate.
Rewriting in your best seller's voice
An advisor writes a quick draft and clicks once. The AI applies your house practices and the style of your best-performing seller. At Wingbuddy, this cut composition time from 15 to 20 minutes per email to 5.
Inbox filtering and routing
Allow lists, exclusion rules and labels decide which emails enter the drafting flow. Supplier correspondence, confirmations and anything unusual stay with the right person instead of getting an automated draft.
Package FAQs your team maintains
One FAQ document per trip package, edited by your own team on the platform. When a package changes, the drafts change with it, without engineering time.
Website chat for trip questions
A chat widget that answers visitor questions 24/7 from the same package content, captures the lead, and passes complex requests to your advisors.
Phone cover when the office is closed
An AI receptionist answers calls, handles common questions, takes messages, and sends your team an email summary after every call.
From enquiry inbox to reply drafts in four steps
We look at your real enquiries
A short call and a sample of your incoming mail. We come back with which enquiry types repeat, which packages they concern, and which should stay with an advisor.
We organise your package knowledge
Your package descriptions, FAQs and past answers become one FAQ per package, so each draft receives only the context it needs. That keeps drafts accurate and processing costs low.
We test on your past emails
The flow is run against real enquiries you have already answered, so you judge the drafts on your own questions before any traveller sees one.
Your advisors review, then send
Drafts land in the mailbox as replies and each processed email is labelled for tracking. Automatic sending stays off unless you switch it on for categories you trust.
Travel agency AI questions we get asked
Will the AI promise something we do not offer?
Each draft is written from the FAQ document of the package the email concerns, and a condition in the flow decides whether an email should get an automated draft at all. Every draft is then reviewed by an advisor before it is sent, so availability, final prices and exceptions stay in human hands.
Does it work with our mailbox?
Yes. We support Gmail (Google Workspace), Outlook (Microsoft 365) and any email provider that supports SMTP/IMAP. Drafts appear in your mailbox as replies, so your advisors keep working where they already work.
Our travellers write in several languages. Is that a problem?
No. The flow detects the language of every incoming email before it drafts a reply. For phone cover, the AI receptionist supports French, English, Dutch and German, with one language configured per phone line.
Who keeps the package information up to date?
Your team. The FAQ documents are edited directly on the platform, so when a package, an itinerary or a condition changes, the next draft reflects it without anyone from our side touching the system.
Will emails be sent automatically?
Only if you want them to be. By default the AI drafts and your advisors approve, edit or reject before anything goes out. Once you trust the drafts for a given type of enquiry, you can enable automatic sending for that category alone.
What happens to our clients' data?
Your emails are never used to train external models, and a Data Processing Agreement (DPA) is provided by default. Some components run on US infrastructure today, but EU-only hosting is available on request.
